Administrative Assistant (Human Resources) for Ibon International

Position title:

 Administrative Assistant

 Admin Manager/Admin Officer

Contract duration

 Regular with six months probation

Key Responsibilities

· Assists the Admin Manager/Admin Officer in monitoring and facilitating personnel and other staff concerns as may be assigned by IBON International and its hosted networks;

· Assists the Admin Manager/Admin Officer of personnel matters which include hiring processes, appointment/contract preparation upon approval of hiring by the Executive Director, and general orientation of new hire;

· Provides orientation for new employees by providing information packets, reviewing institutional policies, gathering withholding and other payroll information, explaining benefit programs, and obtaining signatures for documents;

· Maintains human resources records for employees by recording the hiring, transfer, termination, change in job classifications, and promotion or merit increase dates as well as tracking vacation, and sick leaves;

· Prepares payroll by calculating pay and maintaining payroll records.

· Provides support to supervisors in developing and administering staff training plan;

· Coordinates activities to ensure staff mental health and wellness including staff consolidation activities; and

· Performs other tasks assigned by the Admin Manager/Admin Officer.

Person specifications: experience, skills and knowledge

 Required experience, skills and knowledge

· Previous work experience in this field or related field for at least two (2) years

· Ability to manage a wide range of tasks for efficient human resource and administrative function and support

· Excellent inter-personal skills both written and verbal

· Ability to work in a team and to work collaboratively within an international NGO

· A good standard of administrative writing and reporting proficiency in English

· Computer literate and familiar with Word, Excel, Powerpoint, and Outlook. Has word processing skills, spreadsheet preparation and tracking skills, presentation skills and calendaring skills

· Organizational skills

· Knowledgeable of existing labour laws and provisions in the Philippines
